Direct answer: there is no defensible universal "best" Microsoft 365 backup product. The useful shortlist changes with the buying model. Microsoft offers native, consumption-priced protection inside the Microsoft 365 boundary. Veeam supports both self-managed software and a Veeam-managed service. Several enterprise platforms combine M365 with broader cyber-recovery estates. MSP-focused services emphasize multi-tenant operations. A specialist managed service can reduce infrastructure work, but may cover fewer objects or controls.

Use Gates Before Scores
A high aggregate score cannot compensate for a missing mandatory restore. Start with pass/fail gates. For every required object, write a recovery statement such as: "Restore a deleted SharePoint drive item from 60 days ago to a controlled destination while preserving the metadata required by the business." Reject any candidate that cannot document and demonstrate that path.
- Define three recovery scenarios. Include one item-level event, one user or site event, and one large incident.
- Map objects, not workload labels. Separate messages, folders, permissions, versions, sites, lists, Teams structures, chats, recordings, and application settings.
- Set security gates. Record required residency, credential separation, immutability, deletion approval, audit export, and incident access.

Worked Shortlist Examples
Native-first 500-seat organization: if Exchange, OneDrive, and SharePoint are the complete scope, one-year retention is acceptable, and operations should stay inside Microsoft administration, start with Microsoft 365 Backup. Price the measured protected volume and test both rollback and granular scenarios before adding alternatives.
Fifty-tenant MSP: start with products that document multi-tenant policy, delegated roles, per-client reporting, storage ownership, and offboarding. MSP360 Managed Backup, Acronis, Veeam service-provider routes, and North Brook Vault may enter the evidence round for different reasons; no winner can be selected without the required service model and pilot.
Broad enterprise estate: if procurement also requires Dynamics 365, eDiscovery, endpoints, or hybrid workloads, evaluate Commvault, Cohesity, Rubrik, Veeam, or another broad platform against a unified operating model. Do not award M365 restore points for unrelated workload breadth.
